How to Export PST File Data

PST file or Personal Storage Table file is a type of data file used in Microsoft Outlook. Microsoft Outlook is an email application through which email can be accessed very easily and effortlessly. It is one of the most used email clients which not only manages emails but also calendars, contacts etc.

The first time an email account is added in Outlook then the copy of data is stored in the computer. In this way, all the information and earlier emails are available to use even without an internet connection. The Outlook Data File or PST saves all the email and other items on the computer. POP accounts store their information in the format .pst file. We can also easily export PST.

What does export PST mean?

Sometimes we need to copy only a part of data, for that back up of the Data files need to be created in .pst file format. This is known as exporting PST file data.   3. Moving from One PC to another PC- If you are moving your mails from one computer to another computer having different versions of Outlook then you need to take the backup of your files by exporting PST files and then importing it.

Methods to export PST file

Below are the steps through which you can manually export PST file:
For Outlook 2003 and 2007-

  1. Open Outlook and click on File.
  2. Go to Open and Export and then select Import/Export.
  3. In the Export and Import Wizard click on Export to a File and then Next.
  4. Now choose Personal Folder File(.pst) and click on Next.
  5. In the Export Personal Folders select the folder from where to export the .pst file and then click on Next.
  6. Click on the browse button and select the location where you want to save the file.
  7. Click on File name box and save the exported .pst file in name of your choice.
  8. Click Finish.

For Outlook 2010 and above-

  • Click on the File tab.
  • In Outlook Options window select Advanced.
  • Choose Export and then select Export to a File and then Next.
  • Now click on Outlook Data File(.pst) and click on Next.
  • In the Export Personal Folders select the folder from where to export the .pst file and then click on Next.
  • Click on the browse button and select the location where you want to save the file.
  • Click on File name box and save the exported .pst file in name of your choice.
  • Click Finish.
