Daniel’s User Query:
Today, when I was checking emails to see if there was any important work-related email, I found that there were only 580 emails present in the desktop view. Whereas, in the web view of the same application (Outlook), there were 1000+ emails present. Then, I learned that this discrepancy will be removed if I fix Outlook not showing all emails issue. I have no idea about the entire problem; how can I resolve this problem?
Introduction: IT administrators rely heavily on Outlook every day – for checking support emails, contacting staff members, resolving issues within their Outlook profile settings, and more. During these tasks, they face the “Outlook not showing all emails in Inbox” issue; the workflow gets affected. Some emails do not appear in the Inbox view, even if they still exist in the mailbox (show up using the Search option). The same scenario that happened with Daniel might also take place. There are manual methods and the Aryson Outlook PST Repair Tool as well to resolve this problem. Read this blog to the end to know the specific steps involved in both processes.
There are a few signs that the administrator notices when they use MS Outlook. These symptoms may be triggered due to various reasons that are tabulated below.
| Symptoms | What Does It Trigger |
| New emails are not getting shown in the Inbox | Outlook might not have synchronised the latest changes, or any applied filter is hiding the messages. |
| Older emails are missing from the Inbox list | Offline synchronisation settings, filters, sorting, or a changed inbox view can affect which messages are displayed. |
| Emails appear in Search but not in the Inbox | Messages might actually be located elsewhere – perhaps in some other folder, or even hidden from your inbox right now due to a filter or view preference. |
| Emails appear in Outlook on the web but not desktop Outlook | The desktop application may have a synchronization, cache, profile, or local data-file issue. |
| Emails are getting shown in the Other folder | Your inbox splits your emails into two categories – ‘Focused’ and ‘Other’ – based on their priority (a highly focused message could occasionally end up in the ‘Other’ section). |
| Emails are found in another folder instead of the Inbox | Outlook rules, Sweep, junk e-mail filtering, archiving, or even a manual action might have moved your messages elsewhere. |
There are multiple troubleshooting methods to determine the exact cause of the problem and then resolve it via certain steps. In this section, you will explore the native methods to resolve the issue, and if nothing works for you, a dedicated tool to repair the corrupted PST file is discussed as well.
Microsoft Outlook folder filters can be a direct cause of items appearing to disappear from an Outlook folder. You might have applied a filter and hidden the emails based on the date received, read/unread status, sender/recipient, importance, and size. This might lead to seeing certain emails in Outlook.
When a user receives an email message, Outlook places the email either in the Focused Inbox or under the Other tab. This separation is based on the importance of the message. So if you don’t find a message under the Focused tab, better to check it under the Other tab.
Your email might not show up in your inbox – perhaps it’s been marked as spam, archived, deleted, or relocated to a different folder. Microsoft does suggest looking at Junk Email, Other, Deleted Items, and some other folders whenever an Outlook.com message seems to have been deleted.
| Important: Microsoft says that Outlook.com will automatically delete messages from Junk Email after 30 days – and once deleted, they’re lost forever from that folder. |
Outlook rules can automatically move incoming messages to another folder. Microsoft also identifies Sweep rules as a possible reason Outlook.com messages are moved away from the Inbox.
A changed message-list arrangement can make emails difficult to locate. Your messages might be sorted on the basis of date, sender, size, importance, subject, and category. Even in the Conversation View, the related messages can be grouped together.
There might be a synchronisation problem that stops messages from being displayed in the mailbox or New Outlook not showing old emails. In classic Outlook, labels like ‘Disconnected’ or ‘Working Offline’ show that the Outlook application is not working properly.
Confirm that the device has an active internet connection.
New Outlook has offline settings that control which mail is available when working without an internet connection. Microsoft states that the default “Days of email to save” window was expanded from 7 days to 30 days. This setting should not be described as an email-deletion limit; it concerns offline availability.
Your lost emails stored in PST format might be kept in a file that’s corrupting itself. To fix it, you can use ScanPST, also known as the Inbox Repair Tool. It is highly recommended to first have a backup of the original PST file and then only look to repair it.
When users ask, “My Outlook Not Displaying Email Body Content”, the issue might be occurring due to the inaccessible PST file only. If you have followed the above steps, your issue has been resolved.
Microsoft notes that Outlook may create Recovered Personal Folders and Lost and Found folders. Items that SCANPST cannot associate with their original folder may appear in Lost and Found. The tool also creates a .bak backup file that can potentially be used to recover additional items.
Technical note: SCANPST repairs the PST data structure; it does not connect to or analyse data stored directly in an Exchange mailbox. Therefore, it should not be presented as a general solution for every “Outlook not showing emails” situation.
The Aryson Outlook PST Repair Tool is an alternative to the ScanPST tool to repair and recover corrupted PST files. However, ScanPST can recover corrupted PST files; with an increase in the corruption level, it might not work properly. Therefore, for such a situation, this software provides the Standard and Advanced modes of recovery. Even if you have an encrypted or password-protected file, you can recover the mailbox items – emails, contacts, calendars, tasks, notes, etc. With the help of the same utility, it is possible to rebuild PST files for free.
Aryson also states that the tool supports ANSI and Unicode PST files, can recover data from encrypted PST files, and can maintain the PST folder hierarchy during recovery.
Outlook not showing all Inbox emails does not always mean messages were deleted. Filters, Focused Inbox, rules, folder movement, sorting, synchronisation, offline settings, search, and storage can affect visibility or delivery. To fix Outlook not showing all emails error, you can start by checking Search, Filter, Focused/Other, folders, and Outlook on the web. Then check sync and storage, or use the Aryson Outlook PST Repair Tool if the missing email is in a PST only. Use technical support to ask any further queries about the same.
Ans: Sometimes, it might happen that when you check emails in Outlook on the web and the desktop version, the total number of emails appearing is different. This issue might take place due to a synchronisation issue, there being some cached data, filters being applied, or local data files. You just have to compare both application versions and look for the difference in the email volume to detect this issue.
Ans: Yes, if the missing emails are stored in a damaged PST file, corruption can affect access to mailbox data. Microsoft’s Inbox Repair Tool (SCANPST. EXE) will scan your PST file for any errors and fix them when it finds a problem. If this tool doesn’t work well, you can use the Aryson Outlook PST Repair tool for the same.
Ans: If there is just a particular sender whose emails are not being shown, check if the sender’s emails are moved to another folder or have been filtered from the Inbox itself. You can search for the sender’s email address and check the Junk Email, Archive, Deleted Items, and Other folders to find the emails.
Ans: If you are unable to see recent emails in Outlook, check the offline settings and check whether there is any limit to how much data can be stored locally. In the New Outlook, check Settings >> General >> Offline and cross-verify the Days of email to save option. If you increase the available offline period, your older messages will appear in Outlook.
Ans: When you change your password, for security purposes, Outlook needs to authenticate the account again with the new credentials. Now, if the account is not properly synchronised, some emails may not be shown in the desktop version. Sign in again with the new password and check if the issue is resolved or not.
Ans: Yes, the Aryson Outlook PST Repair Tool maintains the original PST folder hierarchy during the recovery process. This eventually helps users to preserve the existing folder structure when the recovered mailbox data is saved.
