Aryson OST Viewer provides a reliable solution to open and analyze OST mailbox data without requiring Microsoft Outlook installation. The utility supports exporting OST files into multiple formats, including PST, PDF, MBOX, EML, EMLX, MSG, CSV, HTML, and DOC. Software Working Process

Steps to Convert OST Files to PDF

Step 1: Download and launch the Aryson OST Viewer on your system.

Step 2: Click Select Folder or Single File/Multiple Files and press Next to proceed.

Step 3: Choose an option to add OST files:

  • Select File: Browse and add the required OST file from your system.
  • Select Folder: Import an entire folder that contains several OST files.
  • Remove: Delete the selected OST file from the list.
  • Remove All: Clear all added OST files in one click.

Step 4: Click Select File, browse to the required OST file, select it, and then click Open.

Step 5: The file listing panel displays the added OST file with the following details:

  • S. No.: Shows the serial number of the added OST file.
  • Name: Displays the name of the selected OST file.
  • File Path: Indicates the complete location of the OST file on your system.
  • File Type: Shows the file format type (OST).
  • Size: Displays the total size of the selected OST file.
  • Previous: Returns to the previous step or panel.
  • Next: Proceeds to the next step of the process.

Step 6: After loading, the software displays the OST mailbox folders in a tree-view panel for easy navigation.

Step 7: Select any folder to preview its emails and attachments. The middle panel displays key email details:

  • From: Shows the sender of the email.
  • Subject: Displays the email subject or title.
  • Date: Indicates the received date of the email.
  • Attachment: Shows whether the email contains attachments.
  • Search Folder: Helps locate specific emails within the selected OST folder.

Step 8: View Email Content and Attachments

  • Email Content: Displays the complete message of the selected email.
  • Sender Details: Shows the sender address, subject, and date.
  • Original Format: Maintains the original email structure and formatting.
  • Preview Option: Allows users to read the full email before exporting.
  • Previous: Returns to the previous step or panel.
  • Next: Proceeds to the next step of the process.

Step 9: Choose a desired file format from the given options to save the OST data. (Suppose we choose PDF.)

Step 10: Apply Required Filters – Before exporting the OST file, configure the available filter options to control the output data:

  • Remove Duplicate Emails: Eliminates duplicate messages based on selected fields such as From, Body, Subject, BCC and Body.
  • Save in Same (Source and Destination Folders are same): Saves the converted file in the same location as the source file, keeping both source and destination folders identical.
  • Maintain Folder Hierarchy: Preserves the original folder structure of the OST mailbox during the export process.
  • Migrate or Backup Emails Without Attachment Files: Exports only the email messages while excluding their attachments.
  • Convert Attachments to PDF Format: Converts all attachments into PDF format while saving the emails.

  • Date Filter: Allows you to define a Start Date and End Date to export emails from a specific time period only. Users can add multiple date conditions and remove them if required.
  • Select Mails on the Basis of Specific Keywords if Found in the Email: Enables filtering emails based on specific keywords present in fields such as To, From, or Subject. You can add or remove keywords and refine results using Case Sensitive or Whole Word options.
  • Custom Folder Name: Let users specify a custom name for the destination folder where the exported files will be saved for better organisation.

Step 11: Configure Additional Export Options – Use these advanced settings to further customize how the OST mailbox data is saved during the export process.

  • Save Attachments Separately: Allows users to store email attachments in a separate folder during export. This option is available when saving emails in PDF, EML, EMLX, MSG, HTML, and DOC formats.
  • Naming Convention: Enables users to choose a preferred naming pattern (such as Subject) to organise exported email files. This option is applicable when exporting emails to PDF, EML, EMLX, MSG, HTML, and DOC formats.

  • Split Resultant PST: This option is available when exporting OST data to PST format. It allows users to divide the output PST file into smaller parts to manage large mailbox data more efficiently.

Step 12: Path to Save – Select the destination folder on your system where the exported files will be stored.

Step 13: Convert – Depending on the options and filters chosen, this step initiates the conversion or saving process.

Step 14: After the conversion, the software displays a summary including:

  • From, To, File Name, Status, Duration, Message Count, and Path in a report table.
  • Marks the processed OST file as Completed.
  • Displays a confirmation pop-up for successful export.
  • Provides Convert Again to start another export.
  • Offers Download Report to save the export details for future reference.
