Software Working Process

Step 1: Download and launch the Aryson OLM Converter Tool on your system.

Step 2: Click the Select OLM File(s) or Select Folder button. Browse the OLM file from your system.

Step 3: To help users understand the software interface easily, below is a detailed explanation of all the buttons:

  • Select OLM File(s): Allows you to browse and add one or multiple OLM files from your system.
  • Select Folder: This option lets you add an entire folder that contains multiple OLM files.
  • Clear List: This option removes all the added OLM files and folders from the list at once.

Step 4: Here, it displays the complete details of the OLM file that you have added to the software.

  • S. No.: This shows the serial number of the added file.
  • Name: This column displays the exact name of the selected OLM file.
  • File Path: Shows the original location of the OLM file on your system.
  • Size / No of Files: It helps you understand the file volume and estimate the conversion time.
  • Select (Checkbox Option): This option allows you to select or deselect the file. If multiple files are added, you can choose specific files for conversion.

Step 5: At this stage, the software lets you preview mailbox data before conversion. It properly displays all folders and subfolders to ensure nothing is missed.

Preview Panel Overview

  • Search Folders: Quickly find specific folders in the loaded OLM file using keywords for easy navigation.
  • Advanced Search: Locate emails, contacts, or calendar items using detailed search criteria.
  • Search Filter (To / From / Subject): Filter results by sender, recipient, or subject for precise searching.
  • Folder Tree Panel: Displays the complete OLM file structure in a hierarchical view for easy selection.
  • Preview Panel: Shows detailed content of selected items before conversion.
  • Selected/Total Message Count: Displays the number of selected items compared to total messages.
  • Open in Browser (If Preview Fails): Opens emails in the default browser if the preview panel cannot display complex formatting.

Step 6: Double-click any email to open it in a separate preview window before conversion. This helps you verify the complete message.

  • HTML Body: Shows the original formatted email layout.
  • Plain Text: Displays simple, unformatted content.
  • Attachments: Lists all attached files.
  • Headers: Shows technical message details.
  • MIME / Raw HTML: Displays structural and source code information.

Step 7: Now, select the desired output format from the list. Here, we will proceed with the Outlook Data File (PST) as the output format.

Step 8: From General Settings, pick Date Range Filter. Enable this feature, and you can select a specific date range. After choosing the Start Date and End Date, only emails within that period will be converted. screenshot

Step 9: Enable the Skip Existing Exports, and the software will automatically skip files that were already converted.

The Custom Output Feature allows users to manually set a name for the output folder.

Step 10: Select the browse, and the converted file will be saved in that chosen location. Click the Browse button to browse and choose your preferred saving folder.

Step 11: From the advanced options, enable Attachment Handling Options:

  • Export Attachment Separately: Enable this option, and all attachments will be saved in a separate folder.
  • Embedded Attachment: Select this option, and attachments will remain embedded within the same converted file.
  • Exclude Attachment: Enable this option, and the software will convert emails without including attachments.

Step 12: Enable the Duplicate Detection feature, and the software will detect and remove duplicate emails. You can filter duplicates based on To, From, Body, Subject, or CC.

Step 13: Enable the PST Segmentation, and you can define the size limit for the output PST.

Step 14: Finally, click on the Start Export button to initiate the OLM to PST conversion process.

Step 15: The software will begin the conversion process immediately. You can monitor the progress in the status bar.

Step 16: Once the process finishes, a pop-up message appears: “All selected data has been exported successfully.”

This confirms that the conversion was successful. A table will appear with all the details:

  • Source: Original file format (OLM)
  • Destination: Target file format (PST)
  • File Count: Number of selected files (1 file)
  • Processing status (Processing → Completed)
  • Execution Time: Total time taken (0 hours 0 minutes 02 seconds)
  • Total Messages: Total number of emails converted (56 messages)
  • Output Location: Location where the converted file is saved

Step 17: The Export Log button allows you to download a detailed conversion report. If you want to convert another format, click Start New Export.

Step 8: After selecting Microsoft 365, enter the Microsoft 365 Azure Admin Id and click on the Authenticate button.

Step 9: Once you authenticate the login process successfully, you will get the verification message. Close that window and navigate to the software panel.

  • Pick Date Range Filter. Enable this feature, and you can select a specific date range. After choosing the Start Date and End Date, only emails within that period will be converted.
