Step-by-Step Guide to View MBOX Emails Using Aryson MBOX Viewer Tool

Aryson MBOX Viewer provides a reliable solution to access and analyze MBOX mailbox data. Compatible with Windows and Mac systems, the utility supports export to PST, MBOX, EML, MSG, PDF, and CSV formats. It also enables mailbox transfer to platforms such as Microsoft Office 365, Gmail, Google Workspace, iCloud Mail, and other mail accounts configured through IMAP. Software Working Process

Step 1: Download and launch the Aryson MBOX Viewer on your system.

Step 2: Click the Single Files/Multiple Files or Select Folder option and press Next.

Step 3: Choose an option to add MBOX files

  • Select File(s): Browse and add a single or multiple MBOX files.
  • Select Folder: Import an entire folder that contains several MBOX files.
  • Remove: Delete the selected MBOX file from the list.
  • Remove All: Clear all added MBOX files in one click.

Step 4: Click Select File(s), browse to the required MBOX file, choose it, and then click Open.

Step 5: The file listing panel displays all selected MBOX files with the following details:

  • S. No.: Shows the serial number of each added MBOX file.
  • Name: Displays the name of the selected MBOX file.
  • File Path: Indicates the complete location of the MBOX file on your system.
  • File Type: Shows the file format type (MBOX).
  • Size: Displays the total size of the selected MBOX file.
  • Previous: Returns to the previous step or panel.
  • Next: Proceeds to the next step of the process.

Step 6: After loading, this tool displays all MBOX files in a tree-view panel for easy folder navigation and mailbox access.

Step 7: Select any folder to preview its emails and attachments. The middle panel displays key email details:

  • From: Shows the sender of the email.
  • Subject: Displays the email subject or title.
  • Date: Indicates the received date of the email.
  • Attachment: Shows whether the email contains attachments.
  • Search Folder: Helps locate specific emails within the selected MBOX folder.

Step 8: View Email Content and Attachments

  • Email Content: Displays the complete message of the selected email.
  • Sender Details: Shows the sender address, subject, and date.
  • Original Format: Maintains the original email structure and formatting.
  • Preview Option: Allows users to read the full email before conversion.
  • Previous: Returns to the previous step or panel.
  • Next: Proceeds to the next step of the process.

Step 9: Choose a file format from the two available options and select the format to save the converted MBOX files (we choose PDF).

Step 10: Apply Required Filters – Before conversion, select the necessary filter options to manage the output data:

  • Remove Duplicate Emails: Eliminates duplicate messages based on selected fields such as From, Body, Subject, and CC.
  • Save PDF Attachment Separately: Saves email attachments as separate PDF files during the export process.
  • Migrate or Backup Emails Without Attachment Files: Exports emails without including their attachments.
  • Convert Attachments to PDF Format: Converts all email attachments into PDF format while saving the emails.

Step 11: Configure Additional Options – Use the advanced options to refine the conversion process:

  • Date Filter: Specify a start date and an end date to export emails within a particular time range.
  • Skip Previous Migrated Mail: Prevents the tool from processing emails that were already migrated earlier.
  • Naming Convention: Select a preferred naming pattern (e.g., Subject) to organise the exported files.
  • Custom Folder Name: Enter a specific folder name to save the converted files in a custom directory.

Step 12: Path to Save – Allows you to select the folder on your system where the exported or saved MBOX files will be stored.

Step 13: Convert – Depending on the options and filters chosen, this step initiates the conversion or saving process.

Step 14: After conversion, information provided:

  • Shows a summary table with From, To, File Name, Status, Duration, Message Count, and Path.
  • Marks all processed MBOX files as “Completed”.
  • Confirms successful export through a pop-up message.
  • Provides a “Convert Again” option to start a new export process.
  • Offers “Download Report” to save the export details for future reference.

Step 9: Select the email client from the given options and choose the destination format for saving the MBOX emails, such as Office 365.

Step 10: Once you select Office 365 as the destination, you have two sign-in options: Client Secret ID Login and Modern Authentication. For now, choose Modern Authentication.

  • Enable Login with Modern Authentication, enter your email address, and sign in.

Step 11: Apply Filters and Settings—Before conversion, choose the necessary filter options to manage the output data.

  • Remove Duplicate Emails: Check this option to eliminate duplicate emails during export. You can filter duplicates based on To, From, Body, Subject, or CC.
  • Migrate or Backup Emails Without Attachments: Enable this option to export emails without their attachments. Choose whether to save these emails to the Mailbox, Archive Folder, or Public Folder.

Step 12: Apply Advanced Filters: Before exporting MBOX to Office 365, refine your data using these filters:

  • Date Filter: Set a start and end date to export only emails within a specific time range.
  • Skip Previously Migrated Mail: Prevent already migrated emails from being exported again; useful for large batches or incremental migrations.
  • Custom Folder Name: Assign a custom name to the destination folder in Office 365 for better organisation and easy access.

Step 13: Convert-Press Convert to export your MBOX files to Office 365 with the selected filters and settings. The tool processes and saves all emails to the chosen destination.

Step 14: Review Conversion Summary – After conversion, the tool displays a summary of your export and provides options for follow-up:

  • Shows a table with From, To, File Name, Status, Duration, Message Count, and Path.
